Privacy notice v1.4 — 23 September 2026
Prime Body Repairs is the data controller for information used to handle your repair enquiry. Contact us at info@primebodyrepairs.com, by telephone on 07709 632380, or through the workshop contact page.
Information we use
We collect the name and contact details you supply, your contact preference, optional postcode, vehicle details, repair description, and photographs. Visit arrangements are discussed directly with the workshop, not selected in the enquiry form. We keep the enquiry reference, estimates, decisions, contact history and service-delivery records needed to manage your request. An advert or referring website may be recorded as the enquiry source.
Contact details and a description of the repair are needed to respond. Photographs are optional. Submitting the form does not reserve an appointment; the workshop will contact you to arrange a suitable time.
Why we use it
We use enquiry information to take steps at your request before entering a repair contract and to perform an agreed contract. We also have legitimate interests in keeping operational records, preventing spam, protecting the service and resolving queries or disputes. Optional website measurement is used only when you allow it. We do not make decisions with legal or similarly significant effects solely by automated processing.
Website and email
Base44 hosts this website and stores enquiry records and private photographs. We use Gmail to send enquiry confirmations, estimates and workshop notifications. The website does not automatically book visits in Google Calendar or create Google Tasks for new enquiries.
Workshop notification emails contain the details needed to handle your enquiry. Photographs are not attached to those notifications: staff view them through the authorised admin area. Records made using an earlier version of the website may still have linked Calendar or Task entries; those are reviewed separately by staff.
These hosting and communications providers process information to deliver their services. We do not sell or rent your information. Provider processing may take place outside the UK; contact us for details of the relevant processing locations and transfer safeguards.
If you choose telephone contact, an optional email address is used for the receipt confirmation only; estimates are discussed by telephone. Replies to workshop emails are handled in Gmail.
Photographs and repair examples
Photographs are resized and re-encoded on your device, then uploaded to private file storage when you add them on the Photographs step. Your enquiry is sent only when you submit the completed form. Removing a photograph excludes it from your enquiry; files from removed or abandoned uploads require a separate storage cleanup review. The enquiry record holds file references, not the image contents. Staff use temporary private links to view the photographs. They are not automatically published in Our Work. Publication of a repair example requires separate approval and number-plate checks. Avoid including people, unrelated documents or other unnecessary personal information in photographs.
Retention and deletion
Active enquiries are retained while the request or repair is being handled. Closed enquiries normally become eligible for staff-reviewed deletion after 180 days. Blank submission drafts expire after 24 hours and become eligible for cleanup. Records with private stored photographs or historical bookings and tasks require a separate resource review before deletion. Staff must remove the stored photograph files separately before deleting an enquiry.
Closing a current enquiry does not create or cancel an online appointment. Any Calendar or Task entries created under the previous booking workflow need a separate staff review; they are not silently deleted when the website changes. Deleting a Base44 enquiry does not automatically erase related Gmail messages, provider backups or other records. Those copies need separate review and are retained only while needed for the repair, follow-up, disputes or legal record-keeping. Contact us to request a review or earlier deletion where applicable.
Optional analytics and browser storage
Optional analytics is off until you choose “Allow analytics”. Base44 receives public page paths, visit timestamps and duration, limited actions such as starting an estimate or clicking a contact link, a random session identifier and the referring website's origin. It does not receive your name, vehicle details, photographs, form text or enquiry identifiers in these events. Our separate action-count report uses a daily identifier derived from an IP address to limit automated traffic. These are pseudonymous measurements, not a guarantee of complete anonymity. Local reports cover 30 days and older local records are included in staff retention cleanup. Base44's separate dashboard history follows the platform's plan-based retention policy.
We save your analytics choice and its date in local browser storage for up to 180 days. After permission, a separate random identifier is saved in this tab's session storage; it expires after 30 minutes of inactivity, is removed on withdrawal and is not used across websites. The preference record itself is used only to remember your choice. You can decline or withdraw permission at any time; that stops future optional measurement and does not affect the enquiry service.
The hosting and security services may process technical information, including IP addresses, to deliver and protect the website. Staff authentication uses the platform's authentication mechanisms. The workshop map loads only when you request it; visiting Google Maps or other external links is also subject to that provider's privacy information.
Your rights and complaints
Depending on the processing and applicable exceptions, you may request access, correction, erasure, restriction or portability of your information, and object to processing based on legitimate interests. You can withdraw consent for optional measurement without affecting the lawfulness of processing before withdrawal. Contact the workshop to exercise your rights; we may need to verify your identity.
You can raise a concern with us and complain to the Information Commissioner's Office.
